Terms of Service

Commonhold ("the Service") is software operated by Commonhold ("we") that associations, landlords and their managers use to prepare, sign and keep documents, run meetings and votes, bill and collect assessments, and communicate with the people of a building. Your building (the "Customer") invited you to use it. By using it you agree to these terms.

Whose records these are

The documents, votes, ledgers and notices in the Service belong to the Customer — the association or landlord — not to us. We process them on the Customer's instructions. If the Customer changes managers or leaves the Service, its records go with it, in open formats, within ten business days of a request.

Electronic signatures and records

When you sign a document or cast a vote here you consent to do so electronically under the federal ESIGN Act and your state's Uniform Electronic Transactions Act (in Florida, Fla. Stat. § 668.50). Your electronic signature has the same effect as a handwritten one. You may request a paper copy of any document at no charge, and you may withdraw consent to electronic records by telling your building's office; withdrawing consent does not affect anything already signed.

Accounts

Keep your passkeys, sign-in codes and links private; they are personal to you and must not be forwarded. You are responsible for activity under your account. Tell your building's office at once if you believe someone else has used it.

Documents and rules are not legal advice

Templates, notices and statutory references in the Service are prepared for general use and reviewed periodically; they are not legal advice, and we are not a licensed community association manager, law firm or accountant. The signed document, the building's governing documents and the law control over anything the Service displays.

Payments

Where a building has switched on online payments, they are processed by Stripe; your card and bank details are held by Stripe, never by us. Any fee for a payment method is shown before you confirm.

Acceptable use

Do not attempt to access records you are not entitled to, interfere with the Service, or act on behalf of someone else without authority. We may suspend access that threatens the security of a building's records.
